Privacy Policy

Last updated:

Whenua Printing (“we”, “us” or “our”) is committed to protecting your privacy and meeting our obligations under New Zealand’s Privacy Act 2020.

This policy explains how we collect, use, store and share personal and business information when you contact us, request a quote, submit artwork or order our products and services, including through our website.

Personal information means information about an identifiable individual. Business information may also contain personal information, such as details about business owners, employees and customers.

1. Information we collect

We collect personal and business information reasonably necessary to respond to enquiries and provide our services. Depending on your interaction with us, this may include:

  • Your name, email address and phone number.
  • Your business or trading name, business contact details and nominated contact person.
  • Billing details, delivery addresses and delivery instructions.
  • Quotes, order details, invoices and payment references.
  • Logos, brand materials, artwork, photographs, designs and other files you provide.
  • Personal information contained in those files, such as names, job titles, photographs and contact details.
  • Correspondence, artwork approvals, feedback and customer service records.

Providing information is voluntary. However, if you do not provide information needed for your enquiry or order, we may be unable to provide a quote, complete printing or arrange delivery.

2. How we collect information

We generally collect information directly from you when you contact us, submit an enquiry, provide artwork or place an order.

We may also receive information from someone acting on your behalf, such as an employer ordering staff name badges or a business arranging delivery to another person.

If you provide personal information about someone else, please ensure you are entitled to share it for the intended purpose and that they understand how it will be used. Where additional privacy notification is required from us by law, we will take reasonable steps to provide it.

3. How we use information

We use personal and business information to:

  • Respond to enquiries and prepare quotes.
  • Understand your printing requirements and confirm specifications.
  • Prepare artwork proofs and obtain approvals.
  • Produce, package and deliver orders.
  • Manage payments, invoices and business records.
  • Provide order updates and customer support.
  • Investigate errors, complaints or security issues.
  • Meet our legal obligations.

We do not use personal contact details appearing in customer print files for unrelated marketing purposes.

4. Your artwork and print files

We use your artwork, business materials and any personal information within them to provide the services you request.

Files may need to be accessed by authorised personnel and service providers involved in preparing, checking or fulfilling your order. We limit access to what is reasonably necessary for their work.

We will not publish your artwork, display it in our portfolio or use it in advertising without your permission and, where required, permission from the individuals concerned.

Please provide only the information needed for your order. If your files contain sensitive or confidential information, contact us before sending them so we can discuss suitable handling arrangements.

5. Sharing and handling information

We do not sell or rent your personal information or confidential business files.

Where reasonably necessary, we may share relevant information with:

  • Authorised service providers supporting order preparation, printing, finishing and fulfilment.
  • Freight, courier and delivery providers.
  • Providers supporting our website, email, file storage, accounting or payment services.
  • Professional advisers assisting our business.
  • Authorities or other parties where disclosure is required or permitted by law.

We limit the information shared to what is reasonably necessary for the relevant purpose.

Information may be stored or processed outside New Zealand by service providers supporting our services.

Where a provider processes personal information solely on our behalf, we remain responsible for that information under New Zealand privacy law. We require those providers to use it only for the agreed services and to protect it appropriately.

Where an overseas transfer constitutes a disclosure under the Privacy Act 2020, we will ensure the applicable legal requirements are met before making the transfer.

6. Security and retention

We take reasonable steps to protect personal and confidential business information against loss, misuse and unauthorised access, alteration or disclosure. Access is limited to people who need it for their work.

We retain information only for as long as reasonably necessary for the purposes for which it may lawfully be used, including completing orders, resolving issues and meeting legal record-keeping obligations.

Artwork storage for future reorders can be discussed with us. When information is no longer needed, we take reasonable steps to securely delete or destroy it.

If a privacy breach occurs, we will assess it, take steps to limit harm and notify affected individuals and the Office of the Privacy Commissioner as soon as practicable where required by law.

7. Accessing or correcting your information

You have the right to request access to the personal information we hold about you and to request a correction if you believe it is inaccurate.

We may need to verify your identity before responding. We will handle requests within the timeframes required by the Privacy Act 2020.

If we do not make a correction you request, you may ask us to attach a statement recording the correction sought.

You may also ask us to delete information we no longer need. Some information may need to be retained for legal or other lawful purposes.
